Job Description

One of our top clients in Law Services is seeking a Receptionist to join their dynamic team! As the Receptionist, you will ensure that customer service is front of mind during all interactions whether it be over the phone or in person. The successful candidate will report to the Office Team Lead. This is a fulltime permanent role located in Ottawa ON.

Roles and Responsibilities

  • Greet clients and visitors, ensuring a clean, welcoming environment in the reception and boardroom areas
  • Receive and relay incoming calls and emails and deliver messages as necessary
  • Handle items received at reception and use best judgement to prioritize sensitivity
  • Assist with the catering function including, but not limited to, working with caterers on food requirements for meetings
  • Coordinate scheduling of boardrooms, liaising with the hospitality and technical team as required
  • Prepare boardrooms for, and clean up after, meetings and events including arranging tables and chairs, and setting out food or beverages
  • Issue temporary security passes, taxi chits, or parking vouchers to firm members or visitors as necessary
  • Assist the Business Centre (Mailroom/Copy Production) team when and where necessary
  • Regularly inspect the lunchroom and satellite kitchens to ensure they are stocked and clean, including regular cleaning of refrigerators, microwaves, etc.
  • Perform various administrative tasks, including dropping off bank deposits or picking up catered meals.

Qualifications and Experience
  • Bilingualism (English and French) is required
  • Previous work experience in a receptionist/administrative position, in a professional services firm
  • Passionate about delivering exceptional service to ensure an exceptional client experience
  • The ability to communicate effectively with members of the office, clients and guests
  • Demonstrate a solutions-driven approach with the ability to anticipate clients' needs
  • Solid computer skills, including experience with Microsoft Office
  • Experience with EMS room management software or another similar boardroom booking program would be an asset
  • Willingness to be trained on Teams Meetings and A/V functions for boardrooms and troubleshoot issues, escalating where appropriate
  • Experience dealing with confidential issues in a discrete manner
  • Ability to succeed in a team-based environment as well as excel independently
  • Flexible with hours of work
  • First aid certification and/or the willingness to be trained/retrained in first aid and become part of the office's emergency evacuation team and/or joint health & safety committee
