Job Description

Our client in the Oakville area is currently hiring a Document Administrator to join their team for a one year contract!

Roles and Responsibilities

  • Administrates and maintains the documentation and provides parts of it upon request.
  • Ensures correct versioning and revisioning by suitable methods.
  • Assigns and manages document numbers.
  • Manages, distributes and documents feedback, responses and incoming documents (from suppliers, installation site, customers or other third parties).
  • May check documents on formal aspects.
  • Responsible for all customer document management including engineering drawings inspection, test plans and other submittals as required
  • Manage submittals to the customer and maintain record of various submittals
  • Follows up on documents based on due dates.
  • Candidate should be well versed in using PDF to change documents.
  • Familiarity with writing windows macros to manage files (e.g. batch renaming etc) would be an asset
  • May record and if required track the mailing and distribution of the documentation. 2+ years or Master Entry.


Qualifications and Experience
  • Bachelor’s degree or equivalent
  • 3-5 years of relevant experience in a similar position
  • Able to take ownership of the job and ensure completion
  • Ability to assume responsibility, interface and communicate effectively with others
  • Effective oral and written communication skills
  • Proficiency in Microsoft Office Applications and Acrobat PDF
  • Be able to work independently with little guidance.
  • Excellent organizational skills are needed.
