Job Description

Our Architecture client is seeking a full-time Accounting Assistant with 3 years of experience in an architectural or engineering office environment. The position reports to the Accounts Payable Specialist and will work closely with other Finance team members.

This is a permanent role, working Hybrid. Located near King St and Strachan Ave. Hours are Monday - Friday 9-5. Salary is starting at $45,000 per year. Benefits include two weeks’ vacation plus holiday closure

Roles and Responsibilities

  • Processing expense reports in Vision, checking the GL accounts and tax coding, checking receipts and compliance to company expense policy;
  • Processing the employee expense payment to the bank;
  • Processing the cash receipts for employee expense which are paid by company;
  • Reconciling corporate credit cards;
  • Responding to project and expense queries;
  • RBC Tax Online Payments;
  • Updating cash flow statement for payments such as cheque runs and expense report payments;
  • Support the AP processing cycle from receipt of invoices to payment; including coding invoices,
  • obtaining approvals and entering invoices into Vision accounting system;
  • Back-up for other Accounts Payable tasks including monitoring AP mailbox;
  • Back-up for daily Cash Receipts - enter and match all cheques and wires into Vision and apply to correct
  • invoice and currency;
  • General ledger reclass and monthly recurring entries;
  • GL analysis, reconciliations and summaries;
  • Assist with month-end, quarter-end and year-end close;
  • Any other finance and reporting tasks, as required

Qualifications and Experience
  • Must have a diploma in accounting and/or other appropriate academic major;
  • Must have 3 years experience working within a Finance/Accounting department;
  • Professional Experience using MS Office and ERP software (especially Deltek Vision) highly desirable;
  • Effective written and verbal communication skills;
  • The ability to be flexible and adaptable;
  • The ability to work independently but also to contribute to a larger accounting team;
  • Balance multiple tasks in a fast-paced studio environment;
  • Attention to detail and deadlines is required.

Education and Certifications

Minimum education required: University Degree or College Diploma
