Job Description

We are recruiting for an Executive Assistant & Office Manager role to join our client, a start-up in the financial services/tech space. This role will be about 70% EA and 30% Office Manager. Candidates for this role will ideally hold 5+ years of experience as an EA, have experience with C-Level Executives, and possess a friendly and proactive attitude.

As a company, they let people decide whether they want to be onsite, hybrid or remote, but as this individual will be instrumental in helping to maintain the office, and coordinating their weekly team lunches, they will have to be on site at times. Ideally, the individual in this role will be onsite 2 days a week, at their Downtown Toronto office.

In return, this role offers a competitive base salary, 10% bonus, 3 weeks vacation, 100% benefits coverage after 30 days of employment, and a flexible hybrid working model.

Roles and Responsibilities

  • Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments
  • Plans, coordinates and ensures the CEO's schedule is followed and respected
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO
  • Provides a bridge for smooth communication between CEO and internal employees; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
  • Organize team communications and plan events, both internally and offsite

Qualifications and Experience
  • Bachelor's Degree and/or Post-Secondary Diploma
  • 5+ years of experience (ideally with experience supporting C-Level Executives)
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
