Job Description

Our client, one of Canada's Best Managed Companies, is current;y seeking a Billings Coordinator to join their growing team in a full-time, permanent capacity. Working in a fast-paced and collaborative environment, the Billings Coordinator will produce accurate sales invoices to clients in a timely manner and work along side Account Managers to resolve invoicing issues and provide support to the Accounts Receivables and Collections teams.

Roles and Responsibilities

  • Monitor the Work In Progress (WIP) report to prepare invoice and work with the Account Managers and Senior Accountant to ensure billing targets are met
  • Work with Account Managers to get invoice proofs approved quickly so the invoices can be distributed to customers in a timely manner
  • Maintain an up-to-date and accurate records of Billing requirements and customers AP contracts, ensuring all invoices meet those requirements before emailing to the customer to avoid payment delays
  • Create new agreements
  • Generate monthly maintenance invoices and generate catch-up invoice(s) from agreement start date as required
  • Work with various team members to resolve maintenance issues as required
  • Maintain an up-to-date and accurate records of maintenance billings requirements and customers AP contract, ensuring all invoices meet those requirements before e-mailing to the customer to avoid payment delays.
  • Generate the expired agreement list and send to account managers
  • Re-allocate costs between work orders as required

Qualifications and Experience
  • 1-2 years of billing experience in construction is considered a strong asset
  • Proven ability to prioritize competing requirements and deadlines under pressure
  • Values time commitments and punctuality
  • Proven ability to work independently under minimal supervision as well as in a team environment
  • Effective time management skills
  • High degree of accuracy and attention to detail .
  • Maintain positive customer interactions and value the customer experience
  • Excellent interpersonal, communication and presentation skills, both verbally and written
  • Client focused and proven relationship building skills

Education and Certifications

Minimum education required: University Degree or College Diploma
