Job Description

Our client in the Healthcare industry is seeking an Administrative Assistant to join them for a 3 month contract with strong possibility of extension. This role will be hybrid and the selected candidate will need to be flexible to travel on site in Downtown Toronto once a week. Working hours for this role are Monday to Friday, 8:30am to 4:30pm.

Roles and Responsibilities

  • This role supports and enables the coordination and organization-wide quality and safety initiatives, staff education initiatives, and corporate and legislative accountabilities/committees.
  • The incumbent will provide assistance with the preparation of documentation, materials, and information-gathering on a wide range of departmental, staff, organizational, and corporate-level initiatives and projects, which may include items such as: the preparation of confidential letters, manuscripts, briefing notes, reports, and presentations for both internal and external stakeholders, including the Board of Trustees and Executive Leadership Team.
  • This position supports the day-to-day operations of the department and ensures consistency with organizational administrative processes and requirements.
  • Responsibilities include, but are not limited to, meeting/event coordination, scheduling duties, preparing meeting agendas/materials and taking minutes, on/off-boarding staff, ordering supplies, and electronic and paper file management.
  • The role liaises with other programs and departments within the organization and with external agencies, as required, as well as responding to inquiries, concerns and messages on the Director’s behalf.
  • The incumbent will compose correspondence on behalf of the Director and portfolio, and coordinate communications to relevant stakeholders.
  • This position will assist in the maintenance of statistical and financial records, reports, purchasing card reconciliations and reconciliation of invoices including maintenance of document files and databases, ensuring confidentiality.
  • The role also entails supporting the needs of the larger portfolio.

Qualifications and Experience
Must have:

  • 3-5 years of senior-level administrative experience
  • Be able to prioritize work effectively and efficiently with minimal supervision
  • Excellent interpersonal, organization, problem solving, and customer service skills
  • Judgement, tact, and diplomacy in handling sensitive information
  • Advanced knowledge of computer software (Microsoft Word, Excel, PowerPoint, and Access)
  • Attention to detail and accuracy
  • Able to work under high-pressure situations
  • Creative problem solving skills
Nice to have:

  • Experience working in the Healthcare industry
  • Knowledge of clinical/medical terminology

Education and Certifications

Minimum education required: High School Diploma

This role is paying approximately $25-$28 an hour based on experience.
