Job Description

Our client, an investment and trading company located in Downtown Vancouver, is looking for a Sales Administrator to support their team on a 1 year contract. Apart from training, this role will be working from home. However, there may be a requirement to work in office (either full time or hybrid) within the next year as COVID restrictions change. At the moment there are no plans to return to office full time. but the successful candidate should have the ability to work in office in the future.

This position provides expertise in the administration of trade contracts. This includes data base set-up, invoicing, inventory management, managing shipping and receiving timelines, processing credit applications, and providing exceptional customer service to clients. Additionally this role will require you to work closely with the sales department to assist them with administrative tasks.

Although this is a global company, the office in Vancouver is a small team of 11, so ideally we are looking for someone who is able to work collaboratively in a team and has an "all hands on deck" mentality.

Roles and Responsibilities

  • Preparation of documents reflecting trade contracts, purchases, returns, damaged material etc.
  • Invoicing and debit/credit note preparation and ensuring proper posting to SAP accounting system
  • Interaction with clients following up on contract regulations, communication with traffic dept. and other inquiries
  • Monthly reporting on scrap, month end inventories, overdue reports, and account clearing activity
  • Processing of office requirements such as mail, courier, Email, newspapers, cards etc.
  • Processes credit line applications and get approval in time.
  • Monitors import statistics, supply/demand and pricing trends
  • Identifies areas for cost reduction and operational efficiencies.
  • Assisting with quotations and proposals
  • Organizing and preparing marketing material
  • Support dept. in all admin. Duties


Qualifications and Experience
  • Excellent administrative and control skills
  • Solid understanding of contract details and procedures to be observed under corporate guidelines
  • Requires basic knowledge of inland / overseas logistic
  • Requires good time management skills
  • Strong customer service attitude and interest is supplying top level skill
  • Persuasion skills in cooperating and in meeting needs of all interested parties
  • Flexible and able to work effectively within a variety of situations
  • Proficiency in the use of general office equipment including payables/receivables software, control strategies for accurate accounting, ECC and office support programs such as MS Office etc.
  • Proficient use of computer systems in controlling processes
