Job Description

Our client in the Property Management industry is looking for a receptionist to join their office in Kitsilano. The successful candidate will be managing the reception desk and all incoming guests in addition to supporting the brokers and senior leaders with administrative tasks. The ideal candidate will have experience as an administrative assistant and be comfortable working in a front facing position acting as the face/first point of contact for the company.

Roles and Responsibilities

  • Answering phones for ICI, Property Management, Accounting, MAC Business Centre tenants and Project Marketing
  • Greeting clients, fielding rental enquiries from perspective tenants, liaison with caretakers, trades people, tenants, clients.
  • Receiving and arranging courier services.
  • Credit checks
  • Fax distribution and maintenance.
  • Processing of daily mail (ingoing/outgoing).
  • Ordering and recording postage.
  • Ordering stationery for the entire office and Regional Property Managers
  • Maintaining supplies and service for photocopiers, fax machines and printers.
  • Securing office at the end of day.
  • Liaising with answering services for both divisions when necessary.
  • Maintaining recycling services.
  • Ensuring the front office, all boardrooms and kitchens are clean and tidy.
  • Unloading dishwasher, making coffee.
  • Other tasks as they arise.
  • Organize booking all meeting rooms [Sales meetings, Managers’ meeting, and training sessions]
  • Assist Office Manager with monthly invoicing for Business Centre
  • Assist Office Manager with preparation/modification of Business Centre Tenant lease
  • Keep Business Centre running smoothly by attending to whatever tenant requirements come up

Qualifications and Experience
  • 2-3 years' experience in reception or an administrative role.
  • Must have excellent client service skills
  • Strong verbal and written communication skills
  • Strong time management and organizational skills
  • Must be proficient with MS Office Suite
  • Must be able to prioritize in a fast-paced, deadline-driven environment
  • Must be comfortable working with individuals at all levels of an organization
