Job Description

Our prestigious client in the Education Industry is seeking a permanent, full-time receptionist to join them onsite near Rockliffe Park in Ottawa. The candidate will be working on site Monday to Friday from 10am - 6pm and must be able to abide by the organization's COVID vaccination policy.

The ideal candidate will have a few years experience working in a similar role, have strong customer service skills and be able to communicate orally in both French and English. Confidentiality is very important for this role, as is a professional presence.

Roles and Responsibilities

  • Reception:
  • - Welcome and offer assistance to all visitors who enter the reception area
  • - Direct telephone calls to the appropriate recipient
  • - Provide immediate response to urgent requests (e.g., for nurse/first aid, or maintenance staff)
  • - Provide visitor passes and implement security procedures (e.g., sign-in/sign-out)
  • - Provide training to staff providing reception coverage
  • - Cover temporary receptionist absences and provide related assistance as requested
  • - Receive, and store, and distribute as timely: mail, parcels, and other materials
  • Manage the Late Bus Service
  • - Export daily requests and confirm student eligibility and address information
  • - Support the daily bus allocation and route planning
  • - Forward daily emails to student riders and their parents confirming requests and providing check in and rendezvous information
  • - Check in students daily and follow up with late or absent students.
  • - Contact parents to make alternative travel plans for students who miss the late bus
  • Administer Ongoing Activities and Special Projects
  • - Provide administrative support to Leadership Team projects as identified

Qualifications and Experience
Must have:

  • Completion of secondary school and 1-2 years of relevant experience
  • Oral and written fluency in French
Nice to have:

  • Standard reception and administrative procedures and best practices
  • Experience with administrative policies, procedures and standards
  • Experience helping with school events, programs and principles
  • Customer service principles and best practices
  • Standard desktop software (e.g., MS Office, database), general office equipment (e.g., fax,
  • photocopier)
  • Confidentiality requirements for personal information
  • Basic understanding of common administrative policies, procedures, and standards
  • Emergency First Aid certification

Education and Certifications

Minimum education required: High School Diploma
