Job Description

Our federal government client is in need of an Administrative Assistant to work onsite at the beginning of the contract, then moving to a hybrid opportunity from Jan.2022 until the end of March, 2022 with possible extension. This is a full-time, Monday to Friday role working 8am-4pm.

Roles and Responsibilities

  • Answering incoming inquiries for internal and external clients and general public both via phone and email
  • Arranging for team meetings: tracking agenda items, taking meeting minutes, compiling meeting minutes and distribution to the team
  • Tracking incoming scheduling requests for tasks, compiling the relevant information, issuing tasks and filing accordingly
  • Tracking training records for external clients and staff, sending result information and recordkeeping of results
  • Amending schedules to agreements and distributing according to Departmental QMS
  • Assisting staff with administrative needs as necessary
  • Tracking expenses and updating budget as required
  • Tracking incoming and outgoing shipping of files and goods within the office environment.
  • Other job related duties – administrative in nature and as required

Qualifications and Experience
  • Experience in organizing meetings and providing logistical support.
  • Experience in providing a full-range of administrative support services (e.g. correspondence, finance, scheduling, information management).
  • Experience in using word processing software, spreadsheets, electronic mail.
  • Knowledge of office administration methods, techniques and practices.
  • Ability to apply financial and administrative practices and follow procedures and systems.
  • Ability to communicate effectively orally.
  • Ability to communicate effectively in writing.
  • Ability to establish priorities, organize workload and meet deadlines.
  • Experience in the verification and coding of travel claims and invoices.
  • Experience in running financial reports or tracking budget expenditures.
  • Experience in coordinating and organizing agendas and appointments.
Must have:

  • A secondary school diploma or an acceptable combination of education, training and experience. (Two years of secondary school diploma and one year of relevant* work experience).
  • Reliability level of security clearance.
