Job Description

Our Client in the Non-Profit Industry is looking for an experienced Executive Assistant with strong organizational and time management skills. We are looking for someone who takes the lead in managing the day to day activities of Executive leaders, and has an instinct for anticipating needs and conflicts before they arise! A background in Non-Profit and knowledge of Governance are essential for this role.

This is a hybrid position in Downtown Ottawa with 2-3 days on-site, Monday to Friday 9am - 5pm.
Annual salary is 60-65K annually, based on experience.

Roles and Responsibilities

  • Manages the CEO’s email, calendar and books meeting rooms
  • Organizes travel arrangements for CEO and VP
  • Prepares presentations, speaking points and briefings; coordinates with staff when required
  • Handles confidential information and prepares and updates communications such as letters, memos, and emails sent on behalf of the CEO
  • Maintains the CEO’s office including access to corporate systems, filing and other office equipment
  • Prepares and submits expense reports
  • Conducts ad hoc reviews, research and administrative projects as directed
  • Schedules meetings, determines attendance and distributes invitations and correspondence
  • Assists with preparing agendas and compiles board reports and packages prior to meetings
  • Records and drafts Board/Council meeting minutes for review and approval as requested
  • Records, distributes and retains a clear record of Board packages, approved minutes, decisions and actions
  • Work with the Corporate Secretary to plan upcoming activities/meetings in preparation for a Governance review


Qualifications and Experience
  • At least three years of related experience providing administrative support at the executive level or an equivalent combination of education, training and experience.
  • Excellent communication (oral and written) and interpersonal skills
  • Excellent organizational and planning skills with a high attention to detail
  • Excellent problem-solving skills with the ability to exercise independent judgement
  • Ability to communicate effectively to prepare non-routine reports, correspondence and memoranda related to the work
  • Proficient in the use of software applications (e.g., MS Office Suite) and office equipment (e.g., copier, printer)
  • Experience working in a Non-Profit and a strong understanding of Governance a must.
