Job Description

Our client in the Health Care Industry is searching for an HR Assistant to support their team for a 2.5 month contract term. This role is ONSITE near University and College. This position has daytime hours from Monday to Friday, and is offering $25-28 hourly. Previous experience working in a unionized environment is a strong asset.

Roles and Responsibilities

  • Provide guidance to managers and employees on HR policies, procedures, applicable legislation, and collective agreements.
  • Support with recruitment strategies and processes, including preparing job postings, verifying funding availability and obtaining finance approval, advertising positions, reviewing applications, preparing interview questionnaires, interviewing candidates, and conducting reference checks
  • Prepare offer letters, new hire files and register new staff for orientation
  • Preparing job descriptions, e.g. conducting research, creating new or editing existing job descriptions
  • Conduct investigations into behavioural concerns and allegations of harassment, including participating in fact-finding meetings, preparing interview questionnaires, recommending appropriate courses of action and preparing reports
  • Manage Attendance Support Program by conducting data analysis, determining progression through program
  • Work in conjunction with the OHSW Department to address employees’ absenteeism issues. Conduct sick audits and prepare paperwork for leaves of absences. Attend meetings with OHSW Department regarding return to work / accommodations
  • Coordinate the annual compensation review, including gathering appropriate salary approvals, determining employee eligibility, preparing / submitting salary increase files to Compensation Manager for processing, and communicating increases to staff
  • Coordinate changes to employee HR files, including Personal Action Forms (PAFs) and prepare standard letters, e.g. transfers, promotions, contract extensions, leave of absences, and termination notices.
  • Generate and review monthly end of term reports
  • Provide support and guidance to managers and timekeepers on payroll related matters
  • Coordinate the long service awards
  • Arrange payment for invoices, e.g. vendors, legal services, etc.
  • Other duties as assigned


Qualifications and Experience
  • 3 to 5 years of relevant work experience
  • Must be discreet and demonstrate sound judgment, analytical ability, diplomacy and tact to deal effectively with all levels in the organization, especially when dealing with sensitive issues
  • Exceptional interpersonal, consultative, relationship building and conflict management skills
  • Strong organizational skills with excellent attention to detail and an exceptional ability to prioritize and meet deadlines
  • Excellent verbal and written communication skills
  • Working knowledge of Microsoft Office Suite and HRIS
