Job Description

Our federal government client is in need of an Administrative and Operational Support Assistant to work on contract from November 29 to October 31, 2022. This is a full-time, Monday to Friday remote opportunity. Rate of pay is $17.00/hour

Roles and Responsibilities

  • Creating, updating, tracking, and closing commitments in the financial system
  • Processing and tracking invoices, following up with Finance Department
  • Budget tracking
  • Completing contract approval forms for renewals and new items
  • Checking coding, costs, and getting appropriate approvals in a timely manner
  • Tracking and checking on status of items with the Procurement team
  • Creating travel requests in designated system and preparing expense reports
  • Responding to client’s inquiries on travel requests and expense reports
  • Onboarding new employees and offboarding departing employees
  • Completing a monthly acquisition card transaction log, gaining approvals, and sending to Finance for reconciliation
  • Scheduling meetings as needed and managing calendars for others
  • Organizing, coordinating, and supporting events; completing forms, gaining approvals, and register/pay for training or conference events
  • Inventory, monitoring and ordering office supplies, books, and equipment
  • Documenting new processes and procedures as needed, suggest improvements
  • Organizing, maintaining, and updating content of intranet pages for the team
  • Creating, maintaining, and updating records and files ensuring electronic documents are properly saved in appropriate records systems
  • Organizing and tracking support materials, preparing, and distributing agendas, booking, and confirming room availability, set up, arrange hospitality and equipment requirements
  • Scheduling and confirm attendance, take, and transcribe meeting minutes, participate in meetings, note actions and follow-up commitments
  • Assisting in the preparation of correspondence, reports, statements, and other documents
  • Providing back up for the business unit as needed

Qualifications and Experience
  • Education: Secondary school diploma or an acceptable combination of education, training, and relevant work experience.
  • Experience: Twelve (12) months relevant experience in a business environment.
  • Be able to multi-task
  • Meet tight deadlines
  • Be familiar with general office procedures, equipment, and software
  • Have a strong commitment to people, processes, policies, and confidentiality
Must have:

  • Reliability level of federal government security clearance
