Job Description

We are searching for a full-time permanent Executive and Personal Assistant for a high net worth executive in the GTA. This role offers a competitive salary, great benefits, and the chance to join a dynamic team! The role will primarily be on-site in Markham, however international travel alongside the executive will be required once a month.

Roles and Responsibilities

  • Act as a right-hand to the executive
  • Scheduling and calendar management
  • Extensive domestic and international travel coordination (this includes arranging for private plane transport, reservations, etc.)
  • Travel alongside the executive monthly
  • Meeting coordination and minute-taking/preparing action items
  • Expense management
  • Provide support to the executive's family (this includes travel coordination for family members, liaising with household staff, and other related personal tasks).
  • Correspondence management
  • Prepare PowerPoint presentations, reports, and other documentation as needed
  • Provide back-up support to other executives in office as needed
  • Other related administrative tasks as required

Qualifications and Experience
  • Completion of a post-secondary Degree or Diploma is strongly preferred
  • Must have a minimum of 5 years of experience as an Executive/Personal Assistant supporting a C-Suite/Senior level Executive
  • Must have experience managing complex international travel and coordinating private aircraft travel
  • Must have experience working in a corporate environment
  • Must be able to travel internationally alongside the executive on short notice, at least once a month
  • Must be extremely organized and detail-oriented
  • Must be able to multi-task and prioritize in an extremely fast-paced and deadline driven environment
  • Must be able to provide support outside of regular business hours on evenings and weekends as needed
  • Must be proficient in MS Office
  • Must have strong discretion and the ability to manage confidential information
  • Must have stellar verbal and written communication skills
  • Must have the ability to interact with individuals at all levels of an organization
  • Must have excellent problem-solving skills and be self-motivated
