Job Description

Our client in the Real Estate industry is seeking an Administrative Assistant for the Investments Department. The ideal candidate must have 2-3 years of administrative experience within the Banking or Finance industry. This role requires you to work ON SITE in Mississauga (Airport Rd & American Dr) from Monday to Friday between 9 am to 5 pm. This is a permanent position starting as soon as possible.

Roles and Responsibilities

  • Create and maintain Excel spreadsheets and PowerPoint presentations
  • Assist all members of the team with a variety of duties
  • Assist accountants, maintain daily investment database on portfolios of marketable and private holdings, daily trading activity, reconciling portfolio holdings and prices
  • Assist in preparing investment management reports on a monthly, quarterly, and annually basis
  • Assist in preparing Board and Committee reports
  • Perform administrative duties – all applicable filing, photocopying, faxing, scanning, shredding, sorting mail, and arranging all couriers
  • Produce correspondence, invoices, schedules, and confidential financial information
  • Process payments
  • Answer phone calls and take messages when required
  • Set up for meetings with clients/internal (book boardroom, provide coffee, lunches etc.)
  • Book appointments and meetings and co-ordinate all required material for same
  • Create new files and maintain extensive filing system
  • Ad hoc assignments and reports as required


Qualifications and Experience
  • Experience in Treasury, Accounting, Banking, Investment or Family Office setting an asset
  • Must treat all departmental information on a confidential basis
  • Excellent communication skills both verbal and written
  • Highly skilled in Microsoft Office (Outlook, Excel, Word, PowerPoint etc.)
  • Excellent proof-reading and attention to detail is key
  • Reliable self-starter
  • Flexibility and willingness to undertake multiple tasks
  • Ability to work with minimal supervision
  • Supportive of others with a strong “team approach”
